As we complete our move to the new newscenter, here are the updates we posted in the first half of 2024.

January 20, 2024

Workia Release Notes (20240117.3):

Cost estimates

  • AIRINC data update to 2024 data which includes updates to COLA, utilities and rent calculations
  • Users can now export reports in any of the cost estimate currencies.
  • The course of calculation data is now included on the relevant line item.
  • Simplified workday integration activation.

Merge documents are now available in Beta

  • Users can now test email by send emails to themselves.

Workia Release Notes (20240202.3):

Outlook integration

  • Users can now connect to their outlook account and send email from Workia using their company email.

Move Planner

  • Plans can now be saved, and past plans viewed.

Merge Documents

  • Additional text formatting options have been added to merge templates.
  • Usability improvements have been made to navigation of merge templates including better organization of merge fields.
  • Merge tags now keep formatting when formatting is applied in the template.

Imports

  • Users can now choose to import lookup values found in their spreadsheet when they do not exist in the system for editable dropdown lists.
  • Imports now support multi-language.

HRIS integration

  • You can now filter the employee list based on connected or non-connected employees to your HRIS system.
  • You can now connect an employee to your HRIS system from the Employee general information section of a case.

Bug fixes

  • In cases where an email included a comma in the contacts name such as "Bloggs, Joe" <[email protected]> The email would fail when forwarded to Workia. This has been fixed.
  • Checklist subtasks for standard checklist items were being shared across case type. This has been fixed and subtasks added to any standard checklist item will now be specific to that case type.
  • Fixed issue where the icon in suggested for you cards and other places would be misaligned until the screen was refreshed.

Workia Release Notes (20240208.3)

Move Planner

  • Users can now configure their own steps for the standard case type (all case types will be added in a future release)
  • UI updates to improve the overall user experience.
  • Cost estimate duration only shows for long term and short-term assignment case type.
  • Case type dropdown has been updated to a standard dropdown.
  • Plan steps now are expanded by default.
  • Legal entity checkbox has been removed.

Merge Document

  • Usability improvements have been made to the merge document edit screen.

Imports

  • An import error file can now be downloaded containing only the failed records along with an explanation for the errors.

Bug fixes

  • Stakeholders will no longer see an Oops message when viewing tasks.

Workia Release Notes (20240222.5)

Move Planner

  • Plans can now be shared with stakeholders once saved.
  • Cost estimates now inform users when the provided country combination is not supported.
  • Updates to improve the usability on configuration.

Company document

  • Users can now create documents without uploading a word document first.
  • Document templates now appear under a filtered tab making them easier to find.
  • Fixed issue with all documents appearing as templates on case document upload.
  • Users can now change the name of a document when editing the document.

Services

  • Integrated service initiation to Vialto can now be configured and sent - Requires approval from Vialto.
  • Compensation and Benefits has been separated into two services making it easier to understand what suppliers will appear.

Updates

  • Dropdown to select a user or person have been improved to now automatically show an initial list of users and no longer load in a modal.
  • Email can now be used to search for users on the team list.
  • New comments now default to internal only.
  • Users now receive feedback that the file is exporting when exporting from the people screen.
  • Fixed issue with a name appearing for gender in AI reporting.
  • Emails logged to a case from the outlook add-in are now logged as an email in Workia with proper formatting.

Workia Release Notes (20240301.1):

Enhanced Onboarding Experience:

  • Registration Confirmation: We have implemented a welcome email feature that sends users a confirmation email after they set their password. This email contains their website's URL, ensuring they have easy access to it even if they forget to bookmark it.
  • Invite Reminder: To ensure a smooth onboarding process, we have introduced reminder emails for users who have received an initial invite but haven't logged in yet. These reminders serve as a helpful nudge, prompting users to take the necessary steps to access the system.

Streamlined Move Planner Configuration:

  • Events can now be reordered within a phase: We understand the importance of flexibility in planning, which is why we have added the ability to reorder events within a phase. This feature allows users to easily customize the sequence of events according to their specific needs.
  • Phase icons can now be configured: We believe in personalization, and to enhance the visual experience of the move planner, we have introduced the option to configure phase icons. Users can now choose icons that best represent each phase, adding a touch of uniqueness to their planning process.

Enhanced Document Visibility:

  • Allow employee and stakeholder users to see documents in comments: We understand the importance of collaboration and information sharing. To facilitate seamless communication, stakeholder users can now view and download documents attached to comments in cases they are associated with. This enhancement ensures that stakeholders have access to all relevant information, promoting effective collaboration.

Stakeholder User Enhancements:

  • Enhanced Collaboration with Stakeholders: Stakeholders and one-time users can now access all shared cost estimates, move plans, and documents in one centralized location - the "Shared with me" tab on the landing page. Say goodbye to searching through emails and enjoy a seamless collaboration experience.
  • Fixed issue where approvers can't be stakeholders: We have addressed an issue where shared access was inadvertently removing users' existing access. This fix ensures that approvers can also be stakeholders, allowing for smoother collaboration and decision-making.

Other Notable Enhancements:

  • To provide better visibility and context, documents created from merge templates are now marked as such in the case profile screen. This helps users easily identify documents generated from templates.
  • Confetti animation when checklist items complete: Celebrate your progress! Users now receive a delightful confetti animation when they complete a checklist item. This small touch adds a touch of joy and motivation to the task completion experience.
  • Quick Owner filter - Users can quickly filter the cases page to see only their cases or only the cases for another owner they may be covering for: To enhance user productivity, we have introduced a quick owner filter. This feature allows users to easily filter the cases page to view only their own cases or the cases of another owner they may be covering for. This streamlined filtering option saves time and improves efficiency.

Email Templates (New feature):

  • Create personalized email templates to save time and effort when communicating with stakeholders, process partners, and employees.

Cost Estimate Approvals (New feature):

  • Send cost estimates for approval with just a click, streamlining the approval process.
  • Stakeholders can now view cost estimate details externally, making it easier for them to review and provide feedback.

Move Planner:

  • Add comments to your Move Planner to collaborate and discuss plans with your colleagues.
  • Improved behavior of the description field for move planner steps, making it easier to add and manage steps.

Other Improvements:

  • We've updated the page spacing to provide a consistent and visually appealing experience.
  • Copying emails from Outlook and pasting them into the communications widget is now seamless and hassle-free.
  • The COLA help text has been revamped to provide a clear and comprehensive explanation.

Bug Fixes:

  • Middle name is now supported as a field in the Workday integration, ensuring seamless synchronization.
  • Organization and cost center fields are now fully supported in the Workday integration, keeping your data up to date.
  • Fixed an issue where move planner steps couldn't be deleted from the configuration, making planning smoother than ever.
  • We've resolved the left navigation menu issues when using Firefox.

Workia Release Notes (2240315.3):

AI Assistant - New:

  • Introducing the new AI Assistant! Accessible from any page in Workia, it allows users to ask queries about policies and company documents, as well as run quick report queries.

Import Enhancements:

  • A toggle has been added to the import history page, allowing users to filter and display only the rows with import errors. Easily troubleshoot and identify import issues.

Document Management:

  • Users can now attach company or case documents to approval requests, providing more flexibility and convenience in managing documents.

Email Attachment Fixes:

  • Resolved bugs related to email attachments, ensuring that attachments are properly cleared from the modal and fixing issues with email attachment links.

Move Planner Enhancements:

  • The sharing feature in Move Planner has been updated with a new UI to allow previewing before sharing. Collaborate seamlessly and share move plans with ease.

Workia Release Notes (20240328.3):

Document Attachments:

  • Easily upload files from your computer or attach company and case documents to an approval request, making collaboration and information sharing a breeze.
  • Users can now conveniently view and edit merged documents on the case screen without the need for downloading, editing, and re-uploading.

Move planner:

  • Users can now associate cost estimate templates for each planner, ensuring a perfect fit for your unique business needs. With the added cost estimate toggle, you have the flexibility to include or exclude cost estimates in your plans effortlessly.
  • Easily update your planner templates from the planner screen using the new "Edit Template" button on the planner screen.

Bug Fixes and Improvements:

  • Users can now delete a case from the bottom of the case screen.  This will delete that case and all associated child records such as comments, documents, communications, passports, family data etc.
  • We've resolved an issue with checklist item status, ensuring a consistent and reliable user experience.
  • We've fixed a bug that was causing stakeholders to receive broken links.

Workia Release Notes (20240405.1):

Revamped Homepage:

  • The homepage has been redesigned to provide a new look and feel, along with quick links to actions in Workia.
  • Upcoming events calendar shows key events, including checklist tasks, immigration documents expiring, case starting, and cases ending.
  • The new Active Cases map provides a summary of the destination countries for all active cases or "My Cases" with descriptions of the cases below the map.

Move Planner:

  • Users can now create cases from saved plans in the Move Planner. Case creation is available only on paid Workia plans and not the free Planner version.

Company Documents/AI Policy Query:

  • Users can now select which documents they want to include in the AI Policy Query. This ensures that only the correct documents are searchable, enabling better answers.

Misc Enhancements:

  • Added formatting to money fields to make them easier to read. The formatting aligns with the culture preference of the logged-in user.

Bug Fixes:

  • Fixed an issue where changing a role would delete a user.
  • Corrected the incorrect link sent to a user from a tag in a comment.
  • Fixed issue where font would not keep their font family besides Arial and Times New Roman

Workia Release Notes (20240412.4):

Kanban Board

  • Streamline case management with the new kanban board view! With the kanban board, you can now visualize your cases in a visually appealing and intuitive board layout. Easily track the progress of your cases, identify bottlenecks, and prioritize tasks with a quick glance.

Merge Documents:

  • New created documents are now marked as templates within company documents. No need to manually mark documents as templates after creation.
  • Users will now see a progress indicator when creating merge documents informing them the document is being created.
  • Merge tags improvements have been made making it easier to add tags in fewer clicks and display in a more logical order.
  • The margins within a template have been reduced to create a more intuitive experience of where to click in order to start creating your document.

Usability Enhancements:

  • Interactive Landing Page Map, simply click on specific regions to view country case counts and a filtered list of cases. Get valuable insights and easily navigate through relevant cases.
  • A default title will now be generated for approvals in the format of "Approval Request Date", helping reduce confusion due to blank approvals in the approval process.
  •  Easily access the plan associated with a case from the case details screen using the new plan link that has been added.
  • Adjust the defaulted dates when creating cases from plans.

Bug Fixes:

  • Fixed issue with the cost field on approvals when decimal values are entered. The cost field is now a money field with a new format, ensuring accurate cost management.
  •  Addressed minor bugs in the Planner feature, including duplicates during saving and a plan layout issue when CE is disabled. Enhance the stability and usability of the Planner feature.

Cost Estimate Improvements:

  • Updated Data from Airinc: Updated the cost estimate calculations to reflect the latest data from Airinc, ensuring accurate and up-to-date cost estimates.

Workia Release Notes (20240524.2):

Business Traveler Tracking:

  • Introduced a new Business Traveler Tracking page, where users can easily track their business trips.
  • Enhanced the filters for the Business Trip section, allowing users to filter cases based on specific criteria.

Case Types Improvements:

  • Users can now create their own sub-case types by copying an existing case type, copy includes customize checklists, default services and planner steps.

Workia Release Notes (20240531.1):

Planner Improvements:

  • Social Security insights are now available, providing practical social security guidance for 49 countries including if a social security agreement exists for the country combination.
  • Added support to switch between different immigration scenarios within immigration insights.

Ticketing Improvements:

  • Users can now create tickets by sending an email to the site specific ticket address. This enables users to easily create and manage tickets directly from their email, improving efficiency and streamlining the ticketing process.
  • Fixed issue where ticket status was not respecting the configured display order.

Other Improvements:

  • Organized the placement of tax positions in the Country-specific Tax Position (TPS) feature, ensuring a logical order regardless of the number of positions. This makes it easier for users to navigate and manage tax-related information.
  • Resolved formatting issues with the AI Email Assistant, ensuring that emails are properly formatted for improved readability.
  • The email body section will now grow to fit the size of the content input.
  • Improved the user experience of selecting a template prior to creation.

Fixes:

  • Fixed an issue where the system email was not properly reversed when sending emails from an integrated Outlook account. Now, when sending emails from Workia, the system email is automatically CC'd, ensuring seamless communication.

Workia Release Notes (20240607.2):

Improvements:

  • Users can now create and view tickets directly from the case screen, allowing for easy access without leaving the case screen.
  • Requests for additional country support in Immigration and Social Security insights can now be made directly in Workia.
  • Contact types can now be managed from the contacts section of the case screen.

Fixes:

  • Disabling the default case type for a category will no longer disable the entire case type category.
  • Cost Estimate PDF report no longer shows "INF" in the tax section.
  • Fixed issue blocking the creating of "employee initiated" case types.
  • Fixed issue where Germany Cost Estimates could not be created.
  • Fixed a bug where the checklist action email code was generating as "undefined" for send email actions.
  • Policy and Reason fields now have titles.
  • Fixed a bug that caused custom dropdown options to not be editable.
  • Service initiation comments can now be viewed from the service card on the case instead of going to the full initiation screen.
  • Fixed issue where some plans were saved without a location, causing the saved plans list to not load.
