General Improvements

  • Updated the report builder to support filtering based on rolling time periods, date ranges and specific dates.
  • Added a button to the signature tab in a case record to make it easier to setup Docusign integration.
  • Improved the usability of sending documents for e-signature.

Fixes

  • Resolved an issue where the Outlook add-in fails to attach emails when there are multiple recipients in the To or CC fields.
  • Fixed a problem allowing non-admin/mobility roles to reset checklists after a checklist template is changed.
  • Corrected an issue preventing supplier roles from downloading files from the service details screen and displaying incorrect case communications count.
  • Addressed wrong comment counts on the immigration section for the immigration role and resolved document download issues.
  • Fixed an issue where specific locations could not save plans/cases.
  • Addressed an issue with file types being blocked that should be allowed due to extension and mimetype/signature mismatch.

Audit History - New (in BETA)

  • You can now view a change history for cases and tickets. This lets you see updates made and entries created and deleted, starting 10 November 2024. See this article for more information.

Other Improvements:

  • You can now add a fixed email address (like a group inbox) to an email template, as well as set an email address for a specific contact type.
  • Stakeholders can now create tickets from the "My Tickets" screen on their view.
  • A new setting has been added to the Administration on the Company Info tab. It lets you control email confirmations when creating tickets via Workia. You can now remove the ticket ID from the email or turn off email notifications entirely.
  • You can now edit an existing user's profile while creating a new case, this is helpful where users have been partially created via automation.

Fixes:

  • Improved page load times after login, reducing the need for manual refreshes.
  • Fixed an issue where changes to cost estimate override comments weren’t saving after the first update.
  • Fixed the size issue with the top card on the service screen.
  • Fixed an issue where the data concierge sometimes appeared for users with the collaborator role.
  • Fixed an issue preventing users added as approvers from being invited to Workia.
  • Fixed an issue preventing mobility role users from creating, editing, or deleting merge documents or email templates.
  • Fixed an issue where all location information wasn’t copied to a case created from a saved plan.
  • Fixed an issue where renaming a copied checklist template affected the original case type template.
  • Fixed an issue where you couldn't save or share a plan when the first type supports cost estimates and you switch to a type that doesn't.

Workia Release Notes (20241025.5)

New: Docusign e-signatures!

You can now send documents for signature via Docusign.

Once enabled, signatures can be configured in document templates to enable secure routing of document signatures within Workia.

  • Review and re-order signatures before sending the document for signature.
  • Once a document is signed, users will receive an email confirmation, keeping you informed every step of the way.
  • This feature requires that your company has its own Docusign account.

Improvements:

  • Enhanced notifications for users when email attachments are not accepted by Workia. Generally this is due to security reasons. Users will now receive clear feedback on why certain attachments failed to upload.
  • Improved the user experience of emails sent into the system, including multiple indented replies caused by some email engines.
  • Users can now opt in, or out of being automatically CCed on their emails. This is configured in their profile and by default is opt-in.

Fixes:

  • Resolved an issue where updating planner inputs would reset the Cost Estimate, ensuring that user inputs are preserved
  • Addressed an issue related to cost estimate entitlement count incorrectly including estimates from Planner.

Workia Mobile Release Notes

  • We've improved the Uploads module, allowing users to upload files without the need for a checklist expressly requiring it.

  • You can now select the number of extra bags for excess baggage.
  • Tickets created from the same email thread are now automatically linked, helping you manage potential duplicate tickets more efficiently.

Fixes:

  • Images in emails now render correctly in Workia when viewing thread history, eliminating broken links and enhancing the visual experience.
  • Fixed a bug that allowed the import and export options to be visible to collaborator roles.
  • We have resolved an issue where only the first ticket created from an email retained the thread history. Now, all related child tickets will keep their context, providing a seamless experience in tracking conversations

Cost Estimate Tax Detail Report:

  • Detailed tax calculation information is now available for each cost estimate. Gain deeper insights with our new report that details how the Equus tax engine calculates tax numbers in cost estimates.

Ticket Improvements:

  • Ticket owners will now receive notifications for new email replies on their tickets, ensuring they stay updated on ticket activity.
  • Stakeholders have improved visibility of tickets they have access to, along with notifications for comments they are tagged in.

Other Improvements:

  • You can now apply date range filters to the business trips view, making it easy to track all of your business trips within a specific time period.
  • We’ve introduced a consistent sharing experience across both merge documents and PDF views.

Fixes:

  • We’ve resolved an issue where attachments sent via email from non-users were not being retained in the communications section of cases and tickets.
  • We’ve fixed issues with dashboard widgets to ensure the number shown matches the results when viewing the full details list.

Vendor integration - 80+ vendors added:

Workia Premium users now have integration access to 80+ vendors via the Equus Ecosystem. The Connections page has been updated to allow connection requests directly.

A new Ecosystem fast connection for K2 has also been added, requiring only a connection key to setup integration.

💡 Equus Ecosystem connections are only available in the Premium subscription plan.

Other Improvements:

  • Users can now provide feedback on AI Policy Query responses, enabling future improvements and better accuracy.
  • Enhanced visibility of import/export actions on the people screen.
  • SSO connections are more flexible, by removing the requirement for the Artifact Resolution Service URL for Single Sign-On (SSO) access.
  • New preview feature allows users to see what stakeholders will view before sending invitations.
  • Users creating tickets via email will now only receive a link if they have Workia access.

Fixes:

  • Fixed issue preventing ticket creation from forwarded emails.
  • Fixed duplication of tickets when editing titles for the first time.
  • Fixed the issue with processing email ticket creation for emails that did not correspond to a user in the system.
  • Fixed loading issues for tickets linked to another ticket.

Employee App:

  • You can now 'copy' the content of a message in Messages to paste it elsewhere.
  • Creating a Get Help ticket is now smoother with a single-step experience.
  • Context Menu is now available, after you log in you will be able to access your last 2 cases straight from your mobile home page.
  • We've improved the calendar focus, the swipe-down-to-refresh feature, enhanced the confirmation UI for file uploads, and provided a better user experience for entering numerical codes.

Fixes:

  • Fixed an issue preventing users from uploading their avatars to their profiles.
  • Fixed an issue with the field height floating on the app when typing special characters.

AI Policy Query - Big Improvements:

  • The AI Policy Query tool has been overhauled to provide far better results.
  • The response is now smarter and more comprehensive and includes links to relevant documents for further reference.

Data Concierge - New! 🥳:

Checklist refresh:

  • You can now refresh the checklist in a case - for example if you have updated the checklist template with additional steps, you can pull these steps into an existing checklist. Note that this action currently resets all tasks on the checklist (more updates coming in future to manage this better).

General enhancements:

  • Custom case types now display relevant immigration and social security data from their parent types on the planner.
  • Completed checklist items will no longer show on the calendar.
  • The "Team" page has be updated to "Administration" in order to provide a more accurate description of the additional configuration options.
  • The place to upload your company logo has been moved to the "Administration" page.

Employee App:

  • Enabled swiping right on a message to reply to it.
  • Enabled keep pressed on a message to access its options (Reply, Edit, Delete).
  • Collaborators are now able to access the App as Employees.
  • Added notification for checklist due date.
  • Fixed an issue where stakeholders were not able to access tickets as employees within the app.
  • Minor UI improvements on scan passport page and calendar picker.

Fixes:.

  • An issue preventing collaborators from accessing reporting has been resolved.

Launch of the Employee App
We're thrilled to announce the release of our employee app, packed with powerful features designed to make the employee global mobility experience smoother and more efficient!

The employee app includes the following features:

  • Task Overview: Employees can see all tasks assigned to them, including the count of remaining tasks. Switch between 'To Do' and 'Done' views.
  • Task Management: Set reminders, exchange comments, change task statuses, and upload files directly to tasks.
  • Upload-Specific Tasks: A dedicated section for tasks related to uploads.
  • Get Help: Employees can open and manage help requests with default ticket creation as 'Employee Help' and assigned to the Case Owner.
  • Contact Details: View and contact Owners and Case Contacts (including in-app messages).
  • Profile Management: Update personal and dependent information.
  • Scan Passport: Upload and scan passports, with automatic data entry upon scanning.
  • Theme Options: Choose from a variety of Workia themes.
  • Account Settings: Set up MFA and biometric login.
  • Coming soon: Enhanced chat-like experience for Messages with more swipe and press actions; More haptic feedback to confirm actions in the app; Notifications for task due dates; Full push notification support to be rolled out.

  • The profile icon popover has been updated to display security role information, empowering users to quickly understand each team member's access and capabilities within Workia
  • Tickets created via email will now automatically include the full email history in the comments section, providing users with complete context and enhancing communication efficiency.
  • All contact types can now be included in email template to/cc fields. Previously this was limited to just the standard system types.
  • Expanded the list of available merge tags in templates to include suppliers.

Fixes:

  • Fixed issue with merge document headers not saving alignment or font family.
  • Fixed a bug that caused double email notifications when a case owner was tagged in a comment, reducing unnecessary clutter in inboxes.
  • Resolved an issue where requests to add new suppliers to the directory were not being received by the Workia team.
  • Fixed an issue where timeouts were not redirecting users to the login page.
