Workia Release Notes (20250822.2)

Product Improvements

  • The cost estimate tax engine has been updated to the latest version of the Equus tax engine (25.4.1), more details here (you must be logged into Workia to view this article).
  • E-Signature documents will now handle document declines, including notifications to document owners and status updates in the system.
  • Improved the experience of searching for merge tags in document templates by refining what shows when you search.

Employee Mobile App

  • We completed a full optimization of the App, for a faster and smoother employee experience.

Mobility Mobile App

(These updates now available for IOS, Android updates will arrive w/c 25th August)

  • You can now manage restricted cases, VIP and tag features in Mobility Cases.
  • The immigration and tax sections in a case record now show the new fields and status added recently (alignment with web app).
  • We fixed a minor issue with count of cases in the Case List.

Workia Outlook Add-in

  • We've improved the Mobility Case creation process in Outlook, with a slicker UI.
  • We've added the capacity to set a case as Restricted or VIP on Case creation, from within Outlook.

Fixes

  • Fixed an issue where adding a contact in initiations did not work if the user already existed in the system with different capitalization in their email.

New Feature - Restricted Access Cases

  • You now have the ability to restrict access to cases, limiting visibility only to designated users, including mobility and collaborators. This feature ensures greater control over case security when necessary. Once a case is designated as restricted access, you can easily share it with others and see who else has access.
  • Groups have also been added so that you can share access with a group of users instead on individually. The new groups feature will also be added to other areas such as ticket and checklists in the near future.

Product Improvements

  • Performance improvements have been made to increase the overall speed of Workia and to improve reports.
  • You can now link a trip to a case when importing trips.

Workia Release Notes (20250808.2)

Product Improvements:

  • You can now import your own exchange rates for Cost Estimates. A new centralized import screen is available for managing all imports, including cases, trips, and exchange rates.
  • When initiating a case, the additional information and flex choices tabs are now visible for all users (not just stakeholders initiators and collaborators).
  • You can now provide IATA codes for Origin and Destination when importing trips. Workia will automatically map these to the correct locations.
  • The immigration section has been updated with a new country field to track the specific country of the immigration record and a cancelled status has been added.
  • The tax section now contains a field for tracking Questionnaire Due Date when the tax type is Tax Return.
  • Addressed multiple security improvements.

Fixes:

  • Fixed an issue preventing the deletion of tickets associated with alerts.
  • Fixed an issue that caused a timeout when exporting case data with additional tables.
  • Fixed an issue that allowed trips to be created without required information.
  • Fixed an issue with imports not working in languages besides English.
  • Fixed an issue with some reports failing to load data.

Product Improvements:

  • Trips can now be linked to cases, enabling you to track travel related to a case. The new trips section appears at the bottom of the case screen.
  • Stakeholder initiators can now view the details of cases they are a contact for and upload documents.
  • Added document security picker to Approvals, Services, and Checklists, allowing you to control visibility of uploaded documents based on user roles.
  • Updated the Outlook Add-in install instructions with the steps to install from the Outlook marketplace.

Fixes:

  • Fixed an issue with the trips import template not downloading correctly.

Workia Release Notes (20250718.1)

The New Workia for Outlook Add-in is live!

The new add-in is published to the Microsoft store, find out how to load it here.

With the new add-in you manage a range of tasks within Outlook, including:

  • View all cases, add comments, view details, complete tasks, update status.
  • Create new cases and tickets from emails.
  • File emails directly into cases.

Other Product Improvements:

  • Tickets can now be directly linked to trips when viewing a trip.
  • We removed access to the help messenger for Stakeholder, Stakeholder Initiator and Collaborator roles, as they are more likely to want to talk to their mobility colleagues, than Workia. (Note that other user types still have access to Workia support.)

Fixes:

  • Fixed an issue with the AI policy query not returning results.
  • Fixed an issue where mobility users were unable to add tags to cases.
  • Fixed an issue preventing the side drawer in the compensation section from opening for collaborator and immigration roles.

Updates to reporting:

  • We have updated the reporting tool, it looks mostly the same, but it now does a lot more.
  • You can now include additional tables in reports that are connected to the original table multiple levels away. Examples include:

◦ Mobility Case - Employee Annual Salary

◦ Mobility Case - Dependents

◦ Mobility Case - Employee Identifiers

  • If there are tables you cannot see but want to use, let us know through the in-app help.
  • You can now concatenate fields together into a single column, allowing you to create columns such as the full name, or values that include amount and currency.
  • In general, the performance of reports has been improved.

General Improvements:

  • Fixed an issue preventing AI reports from generating.
  • Fixed an issue related to Word shapes in merge documents not allowing the merge document to load.
  • Fixed an issue where clearing filters caused Case Alerts to appear on the Trip Alerts list.
  • Fixed an issue with SLAs showing for some roles but on hover causing an error.

Workia Employee Mobile - Release Notes
- iOS v1.1.0 available from 6 July 2025
- Android v1.1.0 available from 4 July 2025

This version officially releases the Trips feature on Mobile:

  • Users can set their base location and start to log their Trips;
  • 3 calendar views are available: Schedule, List and Calendar;
  • Trips can be searched and filtered by Type and Confirmation status;
  • Users will receive a push notification to confirm their Trips when Mobility users request it;
  • We have fixed an issue with the loading of Schedule view causing it to load shakily.

New Feature: Business Trip Tracking

Track travel activity for employees using the new Business Trip Tracking feature! You can easily monitor the travel of employees and identify where you may have issues using automated alerts.

Key features include:

  • 3 ways to add data: Import multiple trips via travel data import, entering trips manually as a mobility team member, or ask employees to enter trips in their employee app.
  • Trip Automation: Set up automated alerts for when employees travel beyond specified day counts, including options for Calendar Year and Fiscal Year.
  • Ticket creation: Automatically create tickets for trips that exceed day counts.
  • Trip Status: Employees can confirm the status of trips (Confirmed/Unconfirmed).
  • Employee Calendar: Employees can view their travel on the Workia mobile app as well as confirm past travel when prompted to.

Another new feature: Case Tags & VIP

  • You can now add tags to cases, to easily categorize and filter cases.
  • Plus, you can flag cases as VIP, which can then be sent via integration to vendors.

Fixes:

  • Removed the ability for stakeholders and stakeholder initiators to delete tasks or mark them as N/A.
  • Fixed an issue where collaborators could not view the details of cost estimates sent for approval.
  • Fixed a problem with creating cases for individuals that exist only as email contacts.
  • Fixed an issue preventing requestors on tickets from appearing in the search results to select them.
  • Fixed an issue where the background of a users avatar on the case screen did not always show.
  • Fixed an issue where the screen needed to be refreshed to display the correct family information.

Product Improvements:

  • System currency has been added to cost estimates, allowing you calculate and report on cost estimates in a consistent currency.
  • Comments on cost estimate template line items that use a custom calculation will now carry over when you override the line item amount on a cost estimate.
  • Removed the ability for stakeholders and stakeholder initiators to delete tasks or mark them as N/A, ensuring better control over task management.

Fixes:

  • Fixed an issue where Gmail accounts were unable to send documents for signing.
  • Fixed an issue where the tax detail report could not be opened in excel if Peru was one of the locations.
