​New Feature: Multiple Scenarios in Talent Optimization Plans

• You can now manage multiple scenarios within a single Talent Opportunity Plan (TOP). After initiating a plan, the selected scenario types define what options the Mobility team can create. Mobility and Admin users can add or edit scenarios directly from the scenario section, using a streamlined interface similar to independent scenario creation. This improvement also includes better handling of cost estimates, titles, and warnings when scenarios are updated or added.

Product Improvements

• Added salary cap logic to hardship allowance and housing and utilities deduction aligning its configuration with COLA for consistent application across compensation elements.
• Enhanced Mercer import to include Effective Date in the data preview for Bring Your Own Data (BYOD), supporting both ICS and GHRM file formats. Please note that this will only work on new files, not files that have already been uploaded.
• Updated ServiceNow outbound integration to use partial push updates, preventing overwrites of assigned fields like Caller and Assignee. Changes now sync incrementally, with retries for failed pushes and better handling of disconnected tenants.

Fixes

• Resolved issue with the sort feature in reports where users previously encountered a “preview not available” error.
• Improved AI Assistant prompt logic to clearly distinguish between Workia IDs and Employee IDs, reducing confusion for end users.
• Fixed SSO last sign-in tracking so that user activity is accurately logged for single sign-on users.
• Updated behavior for deactivated users in SSO to ensure they cannot access Workia with any login method once deactivated.

Product Improvements

• Added the ability to resize images in Emails and Merge Documents. They can now be resized using drag handles, with the new dimensions saved to ensure images display correctly wherever they are used.
• Updated the Deloitte Integration so mobility case End Date is no longer mandatory for service initiations.
• Expanded the relocation and airfare costs available through the Workia Mercer Subscription and Bring Your Own Data (BYOD) option to include:

1. Home Leave Employee Reimbursement – the cost of one or more peak round-trip airfares at the selected fare level.
2. Home Leave Family Reimbursement – as above for each accompanying family member.
3. Long Term Storage – covers storage, handling, and transportation of household goods to and from storage.
4. Airfare – round-trip travel costs for the employee and dependents at the selected fare level during peak season.
5. Air Shipment – door-to-door air freight costs for defined shipment sizes, including insurance and standard export/import handling.
6. Household Goods Shipments – door-to-door costs for moving goods by sea or land, including insurance and professional packing and unpacking.
7. Storage in Transit – temporary storage costs for household goods at the origin location before shipment.
8. Pre-Move Trip – round-trip airfare plus per diems for a fixed number of days to cover meals and incidental expenses during the trip.
9. Destination Services – consultant services for orientation, home finding, school search, and settling-in.
10. Immigration Fees – Employee and Family – visa and work permit costs for relocating employees and each dependent.

Fixes

• Fixed an issue where imports were failing when importing bonus data
• Corrected an issue affecting Home Leave calculations
• Resolved a problem where users tagged in comments were not receiving notifications.
• Fixed an issue causing batch service initiations to fail when documents were attached.
• Addressed an error that occurred during FX imports when the source and target currencies were the same.
• Corrected an error preventing users from editing or saving cost estimates in Plans.

Product Improvements

• Updated Checklist task modals to display a message when a due date or reminder set by the template has been manually overridden.
• Added new status options to the Tax and Immigration sections in a case for tracking supplier milestones across immigration and tax processes.

Fixes

• Fixed an issue that caused an error when users without access tried to open Plans. Plan existence is now limited to users who created a plan or had it shared with them, plus Admin and Mobility users retain full access.

Product Improvements

• Three new status options have been added to the Social Security section in cases: No Agreement Exists, Expired/Closed, and N/A.
• Supplier Initiation logic has been updated so that salaries now default based on the most effective date on or before today's date, rather than the case start date. This ensures that salary defaults reflect the most current information.
• Updated the empty state message in the in-app notification center to display a friendlier two-line message.
• Modified the case level immigration section behavior so that if the Immigration Document ID field is left blank, the list view no longer displays the message “Not yet received.” If an ID is provided, it appears as usual.
• For Deloitte initiations, destination and origin city are no longer required fields for initiations. Country remains required, with state/province required when applicable (USA, Canada, Switzerland). Salary and employee address are no longer mandatory fields.

Fixes

• Fixed an issue where creating a case from a scenario plan required a page refresh to display the cost estimate or scenario icon correctly.
• Resolved an issue with the AI Assistant where initial searches could become confused; it now includes employee context to improve accuracy.
• Fixed a visibility issue where clients could not view the plan from which they created a case.
• Corrected the behavior when locking a cost estimate (CE) so that the corresponding Scenario Plan is also locked, preventing further edits.
• Fixed an issue that prevented users from editing a cost estimate on a case created from a Scenario Plan. All applicable charges apply outside the free re-calculation phase.

​New Feature: Workia SSO Enhancements

• Workia now supports simplified SSO configuration with two significant updates. You can upload and download metadata files for SSO setup, allowing non-technical users to efficiently integrate with their identity provider without manually entering configuration values. Additionally, the platform now tracks SSO certificate expiration dates and provides visibility into these details. Alerts will notify you as certificates near expiration, helping prevent unexpected authentication issues. All admins will be sent an email notification 3,2, and 1 month before SSO certificate expiry date to help make sure there are no disruptions in SSO authentication for users.

Product Improvements

• Updated the communication section in Talent Opportunity Plans so that when you choose Email, only the AI email writer template is available and Mobility Case email templates no longer appear.
• Granted Mobility Users view-only access to the Company Documents page via their landing page. They can now see all company documents without the ability to edit or manage templates.
• Added the ability for Workia Admins to control the frequency of Workday API update checks (options from every 1–24 hours or every 2–3 days) to better manage API load.
• Enhanced the Subscription page to display calculation credit usage, adding a "View Usage" button and detailed tabs for case and compensation usage tracking.

New Feature: Subscription Page - Cases

• A new Case Usage view is now available under Subscription. This view lists every case created on your account, allowing you to see who created the case and when. You can filter the table by case start and end date, case type, owner, and whether the case is marked as Legacy Pre-Workia, search for specific cases, and download the data into Excel. A summary sentence at the bottom of the page displays the Legacy Pre-Workia date for clarity.

New Feature: ServiceNow Ticket Integration

• Workia now integrates with ServiceNow, keeping Tickets and Incidents synced bidirectionally between the two platforms. Raise or update an Incident in ServiceNow, and the linked Workia Ticket updates automatically — status, category, owner, and comments included. Updates made in Workia flow back to ServiceNow the same way.

Product Improvements

• Added new AIRINC data to support additional requests, including routes for Kampala, Uganda to Lagos, Nigeria, India to Jersey, and Bocchigliero, Italy to Tirana, Albania.

Fixes

• Fixed an issue where bonus fields were not working correctly in merge documents.
• Fixed an issue where comment notifications for Admin and Mobility users did not redirect to the specific comment on the mobility case. Clicking a notification now properly navigates to the relevant checklist task or comment drawer via email or in-app notification.
• Corrected functionality for the Salary Selector in the Supplier module to ensure proper behavior.
• Resolved a problem where cases could not be deleted due to a foreign key constraint on service initiation batch records. You can now delete such cases, and the associated batch import record will remain while the link is removed.

Tax Engine Update

• Updated the system to Equus Tax Engine version 26.4.

Product Improvements

• Added a new column to the Actions and Tasks pages that displays the date an approval or e-signature document was last sent. This does not appear in the stakeholder landing page but helps mobility and admins track pending actions.
• Added the ability for Admin and Mobility users to reorder Case Approval Template Types within the Manage Approval Types modal and the Approval Template settings page. The order now remains consistent across both screens.
• Enhanced Split Pay reporting by introducing the option to display total amounts for host and home countries as separate rows, making data interpretation clearer.
• Improved usability of Compensation Calculations by making the default type Home Based. New compensation calculations created by batch are now automatically marked as primary, and added an "apply button" to filters to make it more clear to the user.

New Feature: Workia AI Assistant

• You now have access to the Workia AI Assistant.
• The Workia AI Assistant can create, find and update data on mobility cases, tasks, tickets and approvals, create communications and deliver insights.
• For those who want greater control of AI use, new on/off switches have been added. Go to settings > admin > company info > AI Tools.

Product Improvements

• Added a Settings page for Case Approval Templates, allowing you to configure approval workflows and manage template parameters.
• Improved the Case Approval Templates feature by allowing you to reorder approval template types in the Manage Approval Types screen.
• Added the ability to download Calculation Results in a formatted .xlsx file looking similar to the downloaded .pdf view.
• Supported Immigration Expiry Date as an alternate unique identifier for Import updates, improving flexibility in data management.

Fixes

• Fixed an issue where cases in Cancelled status would incorrectly appear in the calendar view.

Workia Mobility App Updates

• Version 1.1.14 is available from 31 July 2026 for iOS and Android
• We've updated MFA setup experience.
• We've fixed a couple of minor UI bugs.

Product Improvements

• Improved the Docusign settings screen, making it easier for non-technical users to configure and discuss setup requirements with their IT teams. Improvements include a new Docusign Environment selector, a required Redirect URI field, a Generate Consent Link button that creates environment-specific OAuth URLs, a Copy Link action, and instructional helper text to guide setup.
• Improved Supplier Initiations to automatically select the salary with the most recent effective date (on or before the case start date).
• Added support for sending documents via the EY Integration.
• Updated AIRINC data for Curacao.

Fixes

• Resolved a problem where Collaborators and Mobility users could not access approval templates.
• Improved the messaging when using the "Forgot Password?" feature with an email address that does not exist.
• Removed the cost and currency fields from the Approval view when a cost estimate has been added.

Employee App Updates

• Updated the Expenses section with new violation types and a new Expense Code field.
• Fixed a bug preventing users from setting up MFA from the App.
• Fixed an issue where verification codes were not always resent correctly.
• Updated image and video permissions to comply with latest requirements from Android and iOS.

New Features

• Case Approval Templates: Admin Users can now create and manage approval templates, set approvers, use merge tags in approval request titles, and update approval types directly within Mobility Cases.
• Calculation Report Header Templates: Admin and Mobility users can now customize header fields in calculation PDFs (Cost Estimates and Compensation Statements).
• Comparisons: You can now compare cost estimates and compensation calculation results in the side-by-side compare tool. Compare multiple calculations to quickly identify differences. The comparison aligns by category and line items, displays total costs for each calculation, highlights variances at both the total and category levels, and can be exported to excel. More to come on compares over the coming weeks!

Product Improvements

• Scenario Plans have been refreshed with a new look and feel that aligns the experience with our other case types.
• Enhanced Case-level Emails by supporting text colors and clear formatting in the email editor, ensuring consistent formatting for ad hoc emails.
