Coming soon: Changes to Plans

Here’s a heads-up on some changes to Plans coming in the next few weeks. You’ll still receive the usual release notification when they go live, this is just advance notice in case you need to inform stakeholders.

You'll have all the functionality you've enjoyed until now, along with an improved user interface and some new features, including:

  • The ability to add a Plan Title and Status to a plan
  • Assign or change a Plan owner

New Feature: Email Templates for Supplier Initiation Automations

  • The Supplier Initiation Automation sends emails to inform stakeholders when supplier services are initiated. Now you can define their content using Service Email Templates.
  • When setting up the automation, simply choose the template you want to use. When the automation runs, Workia checks that all the information the template needs is there. If anything is missing, the user who initiated the service is notified.

Product Improvements

  • Added support for uploading data in the Mercer ICS format for Mercer Bring Your Own Data clients.
  • Applied security improvements as a result of annual testing.

Fixes

  • Fixed an error that occurred when creating charts related to cost estimates by refining the options available for the X and Y axes in charts using calculation fields
  • Fixed an issue where adding the same contact twice wrongly gave them stakeholder access
  • Fixed an issue where users couldn't see the user role options when adding a contact.

Product Improvements

  • Cost Estimate Update: Enhanced the handling of Housing Line Items, ensuring more accurate and flexible calculations for your assignments. Explanation of housing line items below, we included the text in the "Tax Mapping" column in the new line items to make it clear to users the differences. (See table below)
  • Improved the EY Host ID update process to include the full Workia Identifier.
  • Restricted collaborator users to only be able to see their own or shared approval requests.

Fixes

  • Resolved a problem in the planner where domestic relocation cases were not generating cost estimates as expected.
  • Fixed a reporting issue where additional employee identifiers were duplicating rows even when data was pivoted.

Tax Engine Update

Product Improvements

  • Following last week's update introducing a new service email template type, we've added a button to help migrate email templates from Case to Service.
  • The Outlook Add-in now keeps you logged in when switching between emails in your inbox, fixing an issue where sessions were lost due to Outlook's focus behavior (note: switching folders may still log you out)
  • Users logged into the Outlook Add-in can now change environments without need to log out first

Fixes

  • Fixed an issue where PDFs were not maintaining their intended format when sent as attachments.
  • Corrected an issue with the Tasks page affecting merge documents and email templates.

New Feature: Split Pay Preferences for Compensation Calculations

You can now set Split Pay Preferences in a case record, using either percentage-based splits or fixed net amounts. This provides flexibility to distribute compensation across multiple payrolls in line with company policies and employee preferences.

  • Save split pay preferences at the case level and/or apply them to individual compensation calculations
  • Preferences saved in the case record are automatically applied to new calculations, based on the effective date of the split
  • Split pay details are now included in:

৹ Shared calculation views

৹ Downloaded calculation PDFs

৹ Calculation approval workflows

Reporting Enhancements
This release also includes reporting support for split pay:

  • A new Split Pay data source lets you report on split pay preferences configured at case level
  • The Compensation Calculation data source now includes split pay, so you can report on split amounts used in calculations

Product Improvements

  • Added a new Service Email Template type for quickly composing emails to suppliers from the Communications area of a service initiation
  • Milestones can now be deployed to current mobility cases without affecting existing checklist tasks:

৹ New milestones sync automatically to existing checklists if they only contain tasks already on the checklist

৹ If the milestone includes new tasks, the checklist must be refreshed on the case before the milestone and tasks appear

  • Enhanced the subtask information on the Tasks page for Admin/Mobility users and the Actions page for Stakeholders to include the parent task details
  • Added support for the following fields to the Vialto Integration; Origin State, Destination State, Origin Job Title, Destination Job Title, Destination Job Grade, Owner, Annual Base Salary, Salary Currency, Case Type, and Citizenship .

  • Fixed an issue where large reports would error and not return data properly, with this we improved performance and stability for large reports to provide a faster, more reliable experience.
  • Fixed an error related to Outlook integration, resolving issues when sending an email from Workia using your own outlook email address.
  • Fixed a problem in Merge Docs where the web and print views were not displaying consistently, ensuring both views now render correctly.

  • Added Audit History for Users, allowing you to view past changes and actions relating to user accounts (such as role changes).
  • Email attachments of up to 50mb are now supported (the previous limit was 30mb).

  • Fixed an issue where numbers didn't update in the Case Status Issues widget in the Program Management dashboard after case updates.
  • Fixed the Preview option in the Manage Team screen, so Admin/Mobility users can preview another user's view of Workia.
  • Fixed an issue where replies to emails sent from restricted cases weren't showing on the case.
  • Resolved an issue where automations could fail due to timeouts.

Product Improvements

  • Added "Number of Days" as an available field in Advanced Reporting, so you can see the length of Trips in your reports.

Fixes

  • Fixed an issue where ticket comments were not appearing in global search results.
  • Fixed an issue where DocuSign sender status had been confusing, by adding support for "Delivered" status. This is when a signer has viewed the document sent for signature but not yet signed.
  • Changed the default name given to cost estimates associated to plans to be the same name as the plan rather than the case type description.
  • Fixed issues with charts where no data would return when using the aggregation sum option and bar charts sometimes weren't available.
  • Fixed an issue where the Workia case email was being added as a user and shown as such on the administration screen when it had been used to send documents. These "users" have now been removed.

  • Updated the logic for Employee ID handling for EY Integration:
    Home Employee ID is now optional, and if not provided, the system will use the Employee’s Integer ID.
    ৹ For Host Employee ID, if not provided, the Workia Identifier of the case will be used.
  • Added a "Created Via" column on the Administration Settings page which specifies how a user was created with options such as "Manually by Invite" , "Document Viewer", "Supplier Contact", and others.

  • Fixed an issue where the approve button was not available for one-time users when there were multiple approvers, ensuring they can now approve or deny requests.
  • Fixed an issue where report charts could trigger an internal server error when segmenting data.
  • Fixed an error in reports where they would fail when the root was set as taxes.
